Planning a birthday party
A birthday party can be anything from a backyard lunch to a full ballroom program. The steps are the same either way: decide what kind of party it is, lock the date and the place, then book the people who make it happen. This guide works for kids' parties and grown-up milestones like a 21st, 40th, 50th or 60th.
Start with the celebrant
Ask what the celebrant would enjoy, or for a child, what the family wants the day to feel like. A few questions settle most of the plan:
- Who is it for? Kids, adults, or both. A children's party needs games and a host who can keep little ones busy. An adult milestone often needs a program, toasts and music.
- How many guests? Write a rough list. The number decides the venue, the food and most of the cost.
- What's the theme? A favorite character, a color, an era or a hobby. Keep it simple; one strong idea is enough.
- What's the budget? Set a total and keep about 10% aside for surprises.
Choose the date and the place
Popular weekends fill up fast, especially in December and during school breaks. Pick a first-choice date and a backup.
For the venue, think about the guests first. Kids need space to move and a safe area for games. Older guests need comfortable seating, shade or air-conditioning, and an easy place to park. Ask every venue what's included: tables and chairs, sound system, cleanup, and how long you can use the space.
Book your suppliers
Book the essentials first, then the extras.
- Caterer, if not included with the venue
- Host or party entertainer
- Event stylist for the backdrop, balloons and tables
- Photographer
- Cake
Extras can follow later: a photo booth, a magician or mascot for kids, a band or DJ for adults, souvenirs and loot bags.
Plan the program
Even a casual party runs better with a simple order of events. For a kids' party: welcome, games, food, cake and candles, a short show, then loot bags. For an adult milestone: welcome, dinner, a short tribute or video, messages from family and friends, cake, then music.
Keep speeches and messages short, and serve food early so nobody waits hungry.
A simple timeline
- 3 to 6 months before: Decide the type of party, guest count and budget. Book the venue.
- 2 to 3 months before: Book the caterer, host, stylist and photographer. Choose the theme.
- 1 month before: Send invitations. Order the cake. Plan the program and games.
- 2 weeks before: Follow up on RSVPs. Prepare souvenirs or loot bags.
- 1 week before: Confirm every supplier and send the final guest count to your caterer.
