CAST Partner Terms
Last updated October 20, 2026
These Partner Terms apply to vendors, venues and caterers who apply for or hold CAST accreditation ("partners", "you"). They add to the Terms of Service and Privacy Policy. If they differ, these Partner Terms apply to partners. A signed agreement between you and CAST takes priority over both.
1. Applying for accreditation
- The information and documents you give must be true, complete and kept up to date.
- CAST reviews each application against its accreditation standards and may ask for more information or documents. CAST decides whether to accredit you.
- Giving your TIN is optional. Your TIN, if you give it, and your business documents are used only to verify your business, and are seen only by CAST staff who review applications.
- Any fees are as agreed with CAST in writing before you're accredited. Accreditation fees are non-refundable.
- CAST may ask you to confirm or update your details at renewal or at any time. CAST may share your registered business name and contact details with a client who has a complaint about you and can't reach you, and with government agencies when the law requires.
2. Your accreditation
Accreditation lasts for the period CAST confirms to you, and can be renewed. Its status is shown in CAST, in CAST Cue and on your public credential page:
| Status | Meaning |
|---|---|
| Active | You meet CAST's standards; your badge and card are live |
| Expired | Your accreditation period has ended and hasn't been renewed |
| Suspended | CAST has paused your accreditation while it looks into a concern |
| Revoked | CAST has withdrawn your accreditation |
Accreditation shows that you met CAST's standards when approved. It isn't a guarantee of your work, and you remain an independent business.
3. The CAST badge and your credential
- You may show the CAST Accredited Partner badge and your credential code only while your accreditation is active, and only as CAST provides them. Don't change, copy or recreate the badge.
- When your accreditation isn't active, remove the badge from your own materials. CAST hides it from your profile and card automatically.
- Anyone can check your credential on CAST's verification page.
4. Your profile
- Your profile must describe your business truthfully: your name, services, photos, location and contact details.
- Changes to your business or venue name are reviewed by CAST before they appear.
- You must own, or have permission to use, every photo, logo and text you upload.
- CAST may adjust how your profile is displayed, and may hide or remove content that's inaccurate or breaks these Terms.
5. Inquiries, bookings and payments
- Bookings you agree with clients in CAST are contracts between you and the client. Deliver what you agreed, on time.
- Reply to inquiries and messages within a reasonable time.
- Keep your payout details accurate. Clients pay you directly, so you're responsible for issuing receipts, refunds and taxes on what you're paid.
- Record payments honestly. Don't mark a payment received or unpaid when it isn't.
6. Leads and clients' personal information
Through CAST you receive people's personal information: inquiries, bookings, CAST Cue card shares, contacts you scan or add, and Expo booth leads. For the information you receive, you are responsible under the Data Privacy Act for how you use and protect it. You must:
- use it only to follow up about the person's event, or the purpose they shared it for
- not sell it, share it with others, or add it to marketing lists without the person's consent
- keep it secure, including your phone and your CAST account
- delete it when you no longer need it, or when the person asks you to
- scan or save someone's contact only when they've agreed to share it with you
- contact Expo visitors only about the Expo and their event
7. CAST Cue
- CAST Cue access comes with your accreditation, and your digital card is built from your CAST profile.
- Your card's link is permanent and belongs to CAST. While your accreditation isn't active, your card page is hidden from the public, but you can still see your leads.
- Use your card link only to share your CAST card. Don't change it to point somewhere else.
8. Expo booths
- Booth lead scanning works only for visitors who turned on "Let exhibitors scan my pass". Don't ask CAST or organizers for visitors' details any other way.
- Follow the Expo organizer's rules for your booth.
9. Reviews
Don't write reviews of your own business, offer anything in exchange for reviews, or pressure clients about them. Keep your replies professional, and don't include clients' personal information in them.
10. Conduct
- Treat clients, other partners and CAST staff with respect.
- Keep the business permits, licences and insurance your services require.
- Don't misrepresent your business, your accreditation or your relationship with CAST.
- Don't use CAST to contact people for anything other than their events.
- Reply to complaints CAST forwards to you within 5 working days, and tell CAST how they were resolved.
11. Suspension and revocation
CAST may suspend or revoke your accreditation if you break these Partner Terms or the Terms of Service, give false information, let required documents lapse, or if serious complaints about you are confirmed.
Before deciding, CAST will tell you the concern in writing and give you 7 days to respond. CAST may suspend you straight away, before you respond, when it's needed to protect clients or the public, when there's evidence of fraud, or when the law or a government order requires it. CAST decides in good faith and will tell you its decision and the reason in writing. You may ask once for the decision to be reviewed, with any new information.
When accreditation is suspended or revoked, your badge is removed and your profile and card page are hidden. Your obligations on clients' personal information (section 6) continue.
12. Ending your accreditation
You can end your accreditation at any time by emailing partnerships@casteventplanning.com, and delete your account as described on our Delete Your CAST Account page. Bookings you've already agreed with clients remain between you and them.
13. Responsibility
You're responsible for your services and your dealings with clients. If a claim is brought against CAST because of your services, your conduct or your use of clients' information, you agree to cover CAST's reasonable losses and costs from it, to the extent the law allows.
14. Changes and contact
CAST may update these Partner Terms. We'll post the new version here and tell you by email or in the app before significant changes apply.
